Remote Logistics Coordinator

Department: Property Acquisition and Research

Primary Purpose:

To manage the acquisition, distribution, and tracking of gadgets, tools, and other resources essential for the productivity of our remote workforce. This role ensures that all remote team members have the materials they need to succeed, from laptops and phones to software and office supplies, while maintaining efficient inventory and cost management processes.

Core Responsibilities

Equipment Procurement and Inventory Management

    • Source, negotiate, and procure high-quality equipment, gadgets, and office materials for remote employees in compliance with company standards and budgetary constraints.
    • Maintain an accurate inventory of all company-owned equipment, ensuring all tools are logged, tracked, and accounted for throughout their lifecycle

Distribution and Delivery Coordination

      • Coordinate timely delivery of equipment and materials to remote team members, utilizing cost-effective shipping options.
      • Manage relationships with shipping vendors and troubleshoot delivery issues to ensure seamless distribution.

Vendor and Supplier Relations

    • Establish and nurture partnerships with reliable suppliers and vendors to ensure the consistent availability of resources.
    • Evaluate supplier performance regularly, ensuring compliance with company standards and adherence to delivery schedules.

Documentation and Reporting

    • Maintain detailed records of purchases, shipments, and inventory using company-approved systems.
    • Generate periodic reports on equipment acquisition costs, delivery timelines, and inventory status for management review.

Support and Troubleshooting

    • Serve as the point of contact for remote employees experiencing equipment-related issues, coordinating repairs, replacements, or returns as needed.
    • Provide guidance on equipment setup and maintenance, collaborating with IT teams when necessary.

Compliance and Budget Management

    • Ensure all logistics processes comply with company policies and relevant regulations.
    • Monitor and manage the logistics budget, identifying opportunities for cost savings without compromising quality.

Key Requirements

  • Education & Experience:
    • No formal experience required but experience in Logistics, Supply Chain Management, Business Administration, or a related field preferred.

  • Skills:
    • Strong organizational and multitasking abilities, with attention to detail.
    • Excellent verbal and written communication skills, with the ability to manage relationships across multiple teams and vendors.
    • Proficiency in logistics management software, inventory tools, and Microsoft Office Suite (Excel, Word, PowerPoint).
    • Familiarity with shipping and customs regulations, is an advantage.
